Bits, Bytes & Bots ("we", "us", "the studio") is an Australian software studio based in Melbourne, Victoria. This policy explains what personal information we collect, why we collect it, and how you can exercise your rights over it. It is written in plain English on purpose.
What we collect
We collect only what you give us and what running a website unavoidably produces:
- Contact details — name, email, phone, company, and anything you write in our intake form or send by email.
- Project information — briefs, budgets, timelines, and materials you share with us while scoping or building your project.
- Call information — if you speak to our AI receptionist, the conversation is transcribed so the right person can follow up. We tell you this at the start of the call.
- Server logs — our hosting provider records standard access logs (IP address, browser type, pages requested). We do not run advertising trackers or sell analytics data.
How we use it
- To respond to your enquiry and scope, quote, and deliver your project.
- To send our occasional newsletter — only if you subscribed, and every letter has a working unsubscribe.
- To keep basic business records we're legally required to keep (invoices, contracts).
We do not sell personal information. We do not share it with third parties for their marketing. Ever.
Who we share it with
Only service providers we need to operate: hosting (our web and email hosts), payment processing, and the project tools an engagement runs on (e.g. a code host or project tracker). Each receives only what it needs to do its job.
Storage, security and retention
Data is stored with reputable providers using encryption in transit and at rest. We keep project records for 7 years (Australian tax and business record requirements), and enquiry records for up to 2 years, after which they are deleted.
For Australian residents
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). You may request access to, or correction of, the personal information we hold about you at any time by emailing chris@bsbsbs.au. If you believe we have mishandled your information, contact us first — if you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
For United States residents
If you are a US resident (including California residents under the CCPA/CPRA), you have the right to:
- Know what personal information we hold about you and request a copy.
- Delete — ask us to delete your personal information, subject to records we must legally retain.
- Correct inaccurate personal information.
- Opt out of sale or sharing — noting we do not sell or share personal information for cross-context behavioural advertising, so there is nothing to opt out of.
- Non-discrimination — exercising these rights will never change how we treat you.
To exercise any of these rights, email chris@bsbsbs.au with the subject "Privacy request". We respond within 30 days.
International transfers
We are based in Australia and some of our service providers store data in the United States or other jurisdictions. Where data crosses borders, we use providers with recognised security certifications and contractual data-protection commitments.
Cookies
This site uses no advertising or tracking cookies. Any cookies present are strictly functional (for example, remembering a preference) and never follow you to other sites.
Changes and contact
